A common question is: “Do I have to retype 2,000 products?” There is no button that uploads an Excel file — the list fills up from the catalogue, from photos of labels and by scanning, while the shop keeps working from day one.
Honestly: BuySale has no way to upload a ready Excel or CSV file and create all your products at once. The opposite does work — you can export your stock to Excel at any time. Coming from another program? See switching from another program. Staying with Excel for now? Try the free ready-made templates.
One row per product
A TOTAL row is added at the bottom
Without the “see cost price” permission the column is not produced at all
An empty column is left out of the file
Jewellery gets karat, weight and size; clothing gets size; phone shops get IMEI
The file has no barcode column — that is deliberate
The Excel file works well as a stock report, but not for carrying your barcodes into another system.
Typing product names is what eats the time during intake. These four routes cut the typing — quantity and price you still enter yourself.
Search by section or by name — or scan the factory code on the pack: if the product is in the central catalogue, its name and section fill in and you add the price and quantity. The catalogue holds more than 1,700 verified products (as of 3 October 2026). It opens for whoever has the intake permission and is hidden entirely in a jewellery shop.
On the intake screen you press the camera button next to the name: the name goes into the field, and whatever the label shows — barcode and sale price, expiry or size by shop type, karat and weight in jewellery, IMEI in phone shops — lands in its own box. Only empty boxes get filled — except the karat in a jewellery shop, which is written over the value you picked. AI reads it over the internet, so check the filled boxes before you save.
You send the assistant a photo of a delivery note, a notebook page or a pile of tags — it reads the rows into an editable intake list. It does not enter stock by itself: it becomes an intake only after you correct the rows and press “Confirm”. One list holds up to 40 rows, one question up to six photos.
You enter the name, quantity, cost price and sale price — stock goes up immediately. Write “I paid this much in total” and the app works out the unit price and shows your margin. Scan a tagged item and attach the code to its card; one product can hold several codes.
The fastest route is this: do not wait for the list to be complete — start selling on day one and add the rest as you go.
Enter the items that move every day first: once that short list is in, the till already works.
When a scanned code is not in the base, the app remembers it and opens the list: tap the product and the code is attached, so next time it is found instantly. If the code is taken, the app says so.
An item with no factory code — home-made goods or jewellery — gets your own code starting with “20” in one tap, and its label prints. Such a code cannot clash with a factory one.
Scan what is on the shelf tag after tag — the scanner does not close between items. The count is kept on the server: come back from another phone and you carry on where you stopped. At the end you get the list of discrepancies and stock is corrected — see the stocktaking guide.
The credit notebook is moved separately and is shorter than the product list: you have fewer debtors than product lines. Enter the old debts in one sitting and from the next day your credit lives in the app’s credit book.
The name takes the most time, and usually you do not have to type it: pick it from the catalogue, photograph the label, or send the assistant a photo of the delivery note. Quantity and price are still asked of you. You do not have to finish the list in one night: start selling on day one and add the rest as you go.
No. Neither the app nor our side has a way to pour a file into the database, so we do not promise that. Your file still helps: use it to see what sells and enter those lines via the catalogue and label photos.
Excel is a spreadsheet; it knows nothing about a sale: after every sale you fix the stock by hand and write the credit in another notebook. In BuySale stock drops with the sale and the credit from that same sale lands in the ledger. Excel does not disappear either — you can export stock to .xlsx whenever you like.
Yes. Anything already in the list sells at the till straight away and you add the rest as you go. In the Android or Windows app, sales keep being recorded even without internet (for up to 7 days) and are sent once the connection is back.
Keep it for the first few weeks — it costs nothing and settles the nerves. Once the debts are moved, stop writing in it, or you end up with two sets of records. Your shop data is kept on the server, so losing a phone does not lose your records.
