Clothing and shoe shop software: accurate stock by size

In a clothing shop there is one question: how many of each size are left. In BuySale the M and the L of the same shirt are two separate product cards, so stock, sales and labels all follow the size.

Stock by size: how many M, how many L

Each size of the same shirt lives in its own card. You set the size with one tap from the ready list (XS, S, M, L, XL, XXL, 3XL) or type your own — 42, 104 cm, whatever suits trousers and kidswear.

Every size is its own card

M and L never merge into one row. The number you see is the stock of that exact size.

Filter by size

Sizes sit as chips at the top of the inventory screen with a count next to each one. Tap one and only that size stays on screen.

The inventory list shows which size is running out

Each card has a low-stock threshold — 2 by default for clothing, or your own number. Below it the count turns yellow both on the home screen and in the inventory; the size itself is written under the name in the inventory list, while the home screen shows the name only.

There is no colour field — we say it plainly

The product card has a size field but no colour field. So the colour goes into the name: “Shirt white M”, “Shirt black M”. Each colour then becomes its own card with its own stock, and search works by name.

A label with the size and your own barcode

Clothing bought at the market often has no factory code. One tap creates your shop’s own barcode — it starts with “20” and can never clash with a factory one. The label prints right away: next to the name and code the size is printed large, which is what tells identical shirts apart on the rail. Label sizes and printers are covered in the barcode and label guide.

A shoe shop runs on the same type

A shoe shop also runs on the clothing type: there is a “pair” unit, each size (say 41 and 42) is its own card and stock shows by size. There is no separate colour field — if needed, the colour goes into the name (“Trainers, black”).

Selling, returns and size exchanges

At the till the phone camera reads the label: an item that is in your base and in stock drops into the basket by itself while the scanner stays open, so you can keep passing garments in front of it. You cannot add more than you have — the app names the item that is short.

01

Scan and sell

The bar at the bottom shows the basket name, how many distinct items it holds and the total. If the code is not in your base, the scanner closes and offers to attach it to a product.

02

The customer in the fitting room holds nobody up

Up to 8 baskets stay open at once and each can be named — while the first customer is deciding you can finish the second. Baskets are kept on the phone and survive moving to another screen.

03

Payment: cash, card or credit

Every payment is recorded separately — that is where the cash and card figures in the daily report come from. Selling on credit is a separate permission: without it a seller can only take cash and card.

04

If the size does not fit

A return starts by scanning the item, not by hunting for the receipt: the most recent sales of that item appear, the latest one is pre-selected and the refund amount is shown at once. The item goes back into stock and you sell the right size instead.

End of season: discount one item or all at once

Winter is over and the coats have to come down. You set a discount percentage on an item and the old price stays visible, struck through. You can also tick several items and discount them all in one tap — up to 90%.

Stocktaking and the daily report

When you count the rails you scan the tags one after another and the scanner does not close each time. What you have checked is stored on the server, so you can leave the screen or carry on from another phone and pick up exactly where you stopped. At the end you get the list of discrepancies and the stock is corrected — see the stocktaking guide.

What it costs for a clothing or shoe shop

The shop type sets the price, and it is the same for every shop of that type. In this type AI assistant questions are not charged separately. Prices for every type and what they include are on the pricing page; what other programs charge is in our shop software price research.

What clothing shop owners ask

How do I track the M and the L of the same shirt?

Each size is a separate card, so “Shirt M” and “Shirt L” are two products. That is why the remaining count per size is exact, and the size chips at the top of the inventory screen leave only the size you need.

Where do I record the colour?

There is no separate colour field — we say that plainly. You put the colour in the name: “Shirt white M”, “Shirt black M”. Each colour then has its own card and its own stock, but there is no ready filter or report by colour.

Clothes from the market have no barcode. What then?

One tap creates your shop’s own code and prints the label straight away, with the size in large type. A label needs a code, so the app generates one for you; after that the same code drives selling, returns and stocktaking.

What if a seller gives a discount of their own?

That is your call. The program prices items from the discount on the product card, and setting a discount is a separate permission. Haggling at the till — typing an agreed total for the customer — has its own permission too: no ready-made set except “Manager” includes it, and every discount given is recorded with the sale. Seeing the cost price is separate as well: an employee without it never receives cost or profit.

A big delivery arrived — can intake be faster?

Yes. Photograph the delivery note or your notebook and send it to the assistant — it reads the lines into a ready list (up to 40 lines per photo). Nothing enters stock on its own: you review each line, correct it if needed, and only “Confirm” books the intake. Photographing a single garment’s label fills in the name, code, selling price and size: the name is overwritten, the other fields only when they are empty.

Does it work offline, and is Telegram required?

The Android and Windows apps work offline for up to 7 days; the web version in the browser needs internet. Telegram is needed too — the sign-in code arrives only through the Telegram bot, and so do the evening report and the confirmation code for restarting a stocktake. Employees sign in with the shop’s phone number and their own 4-digit PIN.
